Address the letter or email message to the person who extended the offer of employment. Use business formatting in the letter, including providing your contact information, the date and the title, name and address of the recipient.

Reiterate your appreciation for the offer and the opportunity to be considered. Recap the reasons you were drawn to the company and department initially.

Explain that you have chosen to accept another position. Provide the recipient with the name of the company and your title once you assume that position. If you have not accepted another position, but have chosen to decline the offer anyway, refrain from being negative in your explanation. Instead, try to briefly explain some of the features of the position you are still seeking, or if you prefer, choose to not go into detail with reasons behind your decision at all.
