How to Enter Orders in QuickBooks

QuickBooks can generate conveniently formatted invoice and sales receipt forms that you can present to your customer at the time of sale. These types of QuickBooks templates can help you with much more than fancy printouts, however -- they can help you to easily enter and track all revenue per customer or job for any type of sales order.

      Click the "Customers" menu at the top of the QuickBooks screen and choose "Enter Sales Receipt" for a sale in which the customer will pay when goods or services are received. Click the list arrow under the "Customer: Job" section at the top of the Enter Sales Receipts window. Choose a customer from the list or select "Add New" to enter details for a new customer. Click the "OK" button on the New Customer window, if necessary, to save new customer information and return to the Enter Sales Receipts window.

      Click the drop-down arrow under the "Item" column on the Sales Receipt form and choose a product or service from the list. Click "Add New" if you're adding a new product or service for to the Sales Receipt. Enter the details of the item on the New Item window, and click the "OK" button to save the new item and return to the Sales Receipt.

      Enter the quantity for each item sold. QuickBooks automatically calculates the total amount for each line item based on the quantity, and also computes the total amount at the bottom of the form. Click the "Save and Close" button at the bottom of the form to enter the data from the Sales Receipt into QuickBooks.

      Click the "Customers" menu at the top of the screen and choose "Create Invoices" for processing orders where customers will be billed for goods or services received. Choose the customer, items and quantity information for the invoice as you would for a sales receipt, and click the "Save and Close" button at the bottom of the form to enter the data into QuickBooks. These orders are automatically tracked by your Accounts Receivable account, and you can access them via the "Receive Payments" icon on the homepage when the customer sends in payment.
