How Does a Microsoft Word Template Work?

    • When opening a new document in Microsoft Word, you are presented with a pop-up screen that offers choices that include templates. Templates are pre-made Word documents that can be filled in with the user's information instead of making a brand new document. Business cards, award certificates and invoices that have personalized information are examples of templates.

    • There is a wide range of templates to choose from. Some of the categories are expense reports, contracts, budgets, content slides, agendas, business cards, calendars, award certificates, brochures, envelopes, faxes, invitations, greeting cards, gift certificates, invoices, labels, postcards, newsletters, presentations and more.

    • The you can click on the template of your choice. The program connects with the Microsoft website and shows the different options that can be chosen. For example, if you click on the business card option, the software shows all the different types of business cards available.

    • Once a selection is made, the template is then downloaded from the Microsoft website to your computer.

    • The template opens on the screen after it downloads and you are then able to customize it by typing in data and adding photos or clip art.

    • For a broader range of templates, you can go to the Microsoft website and search through hundreds of free downloadable templates (see Resources). To do this, simply go to the site, scroll down to the section called "Browse Templates" and click on the category of template type you would like to browse. If you don't see the template you want, click on the "More Categories" link and you will be taken to a new page with additional templates.

    • Once you find the category you want, you are given a list of sub-categories. For example, when you select business cards you will be asked if you want business card templates for email or for print. Choose the one that sounds best for your project.

    • You are then presented with a list of templates. Click on the one you want, then click the "Download" button. Accept the terms and click "Save" in the pop-up box. You can access your new template by selecting "My Templates" in the New Project dialog box in your Microsoft Word.
