Work Flow replaces paper forms

Human Resources, or HR, data entry has historically been tightly controlled through sending paper forms to HR staff, who then check the data and turn the form over to a data entry specialist for input into the system. With new technology and the ability to build rules into systems, that approach is no longer the standard.

  1. Entry at the Source

    • The best practices in any automated transaction processing is to capture the data electronically at the source closest to where it is created. This saves entering on paper and moving that paper around the organization. Some systems have self-service functionality for managers to submit HR changes that administrators can validate before updates take place.

    Work Flow

    • Where possible, work flow notifications assist the business process to speed subsequent steps or receive approvals. This provides for the updating of databases in a timely manner.

    Audits

    • HR data should use two types of audits. The first is an automated record of before-after values, user information and date/time stamps. The second is a means of analysis that tells the HR administrator of anomalies or inconsistencies in the data.
