A format adds structure to a business meeting.

In 1998, workers in the United States attended about 11 million meetings daily, according to a white paper published by MCI. A business meeting format structures a meeting to make it productive, efficient and meaningful.

  1. Logistics

    • The logistics of the meeting are part of its format, including the selection of a convenient location for the meeting and a time at which the required participants can attend. Predetermining the length of the meeting helps its participants schedule their attendance. The roles within the meeting, such as chairperson and secretary, are also an important part of the logistics.

    Agenda

    • The agenda is the key component which sets out the purpose and structure of the meeting. It details in what order the participants will discuss the various topics and who is responsible for introducing each one. An entry of "any other business" on the agenda leaves room for additional business discussions.

    Meeting Style

    • The style of the meeting affects its format. A formal business meeting, with rules as to who can speak when on what topic, will result in a different meeting process than an informally-styled meeting in which anyone can speak.
