Microsoft offers a communications tool as Outlook 2007 that integrates an email program, address book, calendar and to-do list. The address book in Outlook serves as an easy-to-use database or electronic rolodex to store information, accessible as the Contacts module.

Function

Your personal electronic address book containing contacts' names, email addresses, telephone numbers, addresses and other information are stored in Outlook's Contacts module. Users can click the button with the Rolodex card icon to access this module in the Outlook interface to view, add and update entries.

Features

New contacts can be added from email messages by right-clicking the sender's name in the email header. Contacts can also be sorted or filtered according to specific fields such as last name or company name. A subset can be filtered using the "Find" or "Advanced Search" option in the top menu bar. Users can also double-click a vcard attachment in an email to automatically add a contact's full information to the Contacts module.

Identification

Selected contacts can be received or sent as vcards with a vcf file extension. Archives of an Outlook Contact list can be exported as a .pst file, called personal storage folders for archiving on the computer's hard drive.

Misconceptions

Address book contacts from Outlook 2007 cannot be imported to an earlier version of Outlook or to Outlook Express because the file formats differ among the programs. Earlier Outlook archives use the .ost format for personal storage folders and Outlook Express uses .dbx file formats.
