Customers who call your business expect to get in touch with you.. If they can't, they want information on your voice-mail system to be friendly and up-to-date. Putting forth extra effort to make sure your voice-mail greetings are professional will avoid irritating your callers.

  1. Time Limits

    • State when you are in the office and when you are not. If you will be out until a certain time or date, update the message when you return.

    Method

    • If it's easier to reach you via another communication method, say so. Speak the number or email address slowly and clearly.

    Repeats

    • To cut down on callers repeatedly leaving messages, mention when you will return calls and then follow through.

    Divert

    • If your workload needs to be directed to another person in your absence, let the caller know that person's name and how they can be contacted.

    Direction

    • Instruct callers to leave specific information so you can help them more efficiently: a phone number, case number or any other applicable data.
