Job Duties of a Sales and Catering Coordinator

If you are interested in a catering career, a position as a sales and catering coordinator is an entry-level chance to learn the details of the business. The responsibilities of the position provide a great opportunity to learn the variety of tasks involved in running a catering and event business.

  1. Pursue Business

    • The sales and catering coordinator pursues business for the company, looking to build relationships with local businesses, trade organizations and convention planners. The coordinator networks with other businesses to communicate catering services to potential clients.

    Confirm Orders

    • The sales and catering coordinator often confirms orders with customers, calling a few days prior to an event to run through the exact menu and details.

    Organize Outgoing Orders

    • Sales and catering coordinators organize all outgoing orders, making sure that the paper event order correctly reflects the actual order. The coordinator will also make sure paper orders are organized in order of event time and preparation time. Orders are then assigned to the correct event manager, who will fill the food and supply portion of the order.

    Compute Banquet Checks

    • After an event concludes, the sales and catering coordinator may need to compute the final event charge. For example, if an event had an open bar, that cost needs to be calculated into the final bill, and that cost then needs to be shared with the customer.

    Office Tasks

    • Sales and catering coordinators often are responsible for office support tasks, like filing, answering phones and answering office email. They provide front-line customer service, a crucial component in catering.

    Setup and Breakdown

    • Occasionally, a sales and catering coordinator is asked to do the setup or breakdown of an event. During busy seasons, the coordinator may be pressed into event manager or server duties.
