Why Is Scheduling Staff Important?
Scheduling staff is important for any business with employees. Careful staff scheduling, with attention to business levels and profits, is the key to maintaining the effectiveness of an operation.
-
Accountability
-
Scheduling staff creates employee accountability. If a person is scheduled to work on a specific day and time, it is his responsibility to be there, and the manager and other employees expect him to arrive. When employees repeatedly miss shifts, the manager can use the schedule to identify the culprits and discipline as necessary. Without a schedule, it would be difficult to determine who was not at work on time.
Profitability
-
Scheduling employees based on business levels ties directly to company profitability. During slower times, fewer employees should be scheduled; during busy shifts, more can be scheduled. Note the relationship between incoming revenue and employee wages. If the same number of employees were scheduled for every shift indefinitely, the company could lose profit.
-
Efficiency
-
When staff are scheduled for specific shifts, the company operates at a maximum output per shift. If staff were to arrive as they please instead of based on a schedule, there could be too many employees arriving for first shift and none arriving for third shift. Too few employees will not be able to complete tasks during the shift, and too many employees will complete tasks too quickly and have excessive down time. Either situation affects service levels and the efficiency of the operation.
Flexibility
-
Creating a schedule allows for flexibility with shift changes. Employees can make requests for future days off or switch shifts with co-workers as approved by management. If there were no schedule and all employees were constantly on call, it would leave no flexibility for the employees' personal lives.
Scheduling Software
-
Many software applications exist to help managers create effective and fair schedules. Information on business needs and staff availability are entered into the program, and the software automates scheduling.
