What Is an Electronic Filing Cabinet?

An electronic filing cabinet is organized in the same way as a physical filing cabinet. A physical cabinet uses hanging folders and manila folders to store paper records. In an electronic cabinet, there are no actual physical files and the records are stored in directories and subfolders.

  1. Text Storage

    • Your computer organizes your files using directories. A directory is a high-level qualifier that lets you organize your electronic folder under the system drive. Within each of the directories, you can place files. A file name can use up to 255 characters. The best way to organize your directories is to think of what categories you need and then build subfolders under each of the directories. You can use keywords to name your folders and file titles. For example, you can use Windows Explorer to select the "C "drive and then from the toolbar click on "File/new" and select a folder. The folder will automatically be created under the "C" drive that you selected earlier in this process.

    Storage Software Packages

    • If planning, organizing and creating all of these directories and files is too much work, you can purchase a storage package. There are several that are industry-specific, and most run on Microsoft Windows platforms.

    Imaging Storage

    • You can have all documents scanned and stored into a file in an application directory. This directory has been created under the "C" drive on your PC using the "File/new/folder" option in the toolbar. You can name this directory by typing in the folder name when you create this directory. You can open each of these files to view them, or you can have them printed. You can use the system search feature to find the file using the file name.

    Digital Imaging Storage

    • You can download an image captured by a digital camera and store the file in an electronic folder.

    Combined Digital Imaging Storage

    • You can find software systems that can store digital images from either scanner input or digital camera input.
