Clerical Duties

Clerical duties are many and varied. People in these positions have little chance of getting bored, because there are so many things to do. However, because these are entry-level positions, they do not typically pay high salaries, so clerical staff may have to supplement their incomes with additional jobs.

  1. Phones

    • A primary clerical responsibility is to answer phones and take messages. Sometimes this task is more complicated than it sounds, because office phone systems can include many lines or switchboards.

    Copiers

    • Clerical staff often make copies by using a photocopier or a printer. Sending documents via fax machine or mail is another common responsibility.

    Typing

    • Most clerical positions include some typing; letters, briefs, reports and memos are all part of the job.

    Mail

    • Opening and sorting mail is also a clerical duty, including distributing the sorted mail and filing mail that no longer needs responses.

    Data Entry

    • Many times it is also necessary to perform data-entry tasks, such as making appointments and entering them into the appropriate schedules, updating customer records and even entering data into spreadsheets for others. Checking data is also part of the job.

    Other Work

    • Other work can be part of a clerical job description, including preparing envelopes, making signs, creating labels, ordering supplies, keeping track of inventory, greeting customers, running errands and setting up meeting rooms.
