Job Description for a Mailroom Clerk

Mailroom clerks handle incoming, outgoing and interoffice mail, using both manual and automated methods. Many have job duties outside the mailroom as well. In very large businesses, there may be several mail clerks and a mailroom clerk supervisor.

  1. Incoming Mail

    • Mailroom clerks sort incoming mail, opening envelopes by hand or machine, and deal with parcels as well. They date-stamp incoming mail, and place it in mailboxes for pick-up or in carts for distribution.

    Interoffice Mail

    • They also sort interoffice mail, placing the mail in large folders in carts. These clerks may distribute the interoffice mail or get the carts ready for a different employee.

    Outgoing Mail

    • Processing outgoing mail is also part of the job description for a mailroom clerk. They weigh mail and affix postage either by hand or with a meter.

    Special Services

    • Mailroom clerks process all incoming and outgoing envelopes and packages from services such as United Parcel Service and Federal Express, and any overnight delivery.

    Volume Mailings

    • They prepare volume mailings such as invoices or newsletters, folding items and inserting them into envelopes, or operating automated equipment.

    Additional Tasks

    • Mailroom clerks may have other job duties such as ordering and storing office supplies, filing correspondence and other documents, sending and receiving faxes, photocopying and doing computer data entry.
