Depending on the size and duration of the event and number of staff, the production coordinator may have some or all of the following responsibilities, or even more.

  1. Securing a Venue

    • Once the dates for the festival have been set, the production coordinator needs to reserve a venue or multiple venues, and research whether the venue needs to be outdoors or indoors.

    Booking Acts

    • Music festival production coordinators contact performers initially to hire them, or may be responsible for preparing contracts, making sure they are completed and doing a final check to confirm details.

    Scheduling

    • Music festival production coordinators must fit all performers into a workable schedule, including when the big names should perform and how to make the best use of the venues available.

    Publicity

    • A good music festival needs publicity. The festival production coordinator may prepare and send releases for the media (print, sound and Internet), arrange for advance interviews, and oversee design, printing and distribution of posters.

    Ticket Sales

    • Depending on the type of festival and whether an advance ticket sales system is in place, the music festival production coordinator must set up a reservation system and distribute tickets.

    The Day of the Event

    • At the event, the music festival production coordinator may make sure the venue is ready (sound equipment, lighting, audience and on-stage seating), pay performers, oversee staff and deal with the last minute details that inevitably crop up.
