Administrative assistant careers go beyond general receptionist and secretarial jobs. An administrative assistant makes sure that an office runs smoothly, and he makes sure that documents entering and leaving the office are properly recorded. Administrative assistants work in a variety of fields and are pivotal to the success of businesses. To work as administrative assistants, people should have at least a high school diploma.

    • Administrative assistants prepare and proofread letters, documents and correspondences. They schedule appointments and business trips, screen calls and take messages, and generate spreadsheets and databases.

    Executive Secretaries

    • Executive secretaries supervise other secretaries in an office, making sure they all do their designated tasks. They also communicate directly with bosses regarding important business.

    Legal Secretaries

    • Legal secretaries are administrative assistants who prepare legal documents such as summonses, complaints, motions, and subpoenas. They are either directly supervised by an attorney, or they work under a paralegal. Legal secretaries review legal journals and aid in research.

    Medical Secretaries

    • Administrative assistants who work as medical secretaries transcribe doctors' dictations, prepare correspondences, and assist doctors and researchers with reports, speeches, articles, and conferences. In doctors' offices, they record patient information, arrange hospitalization, and order office supplies.

    Library Administrative Assistants

    • Administrative assistants in libraries organize and document books in the library, making sure that they are shelved in the correct location, and they schedule shifts for librarians.

    Human Resources Assistants

    • Human resources assistants compile and keep records of employees--such as contact information, earnings, leaves and absences, payroll, and start and termination dates.

    • Administrative assistant duties in educational facilities include keeping records of students enrolled in the school, files of instructors and staffs, event schedules, office supplies, payroll, and financial accounts.
