Business Etiquette: Presentations
Whether you are a speaker making a presentation or a member of the audience, there are some rules of etiquette you should follow. Consider the relationship between a speaker and the audience to be like any other business relationship: one that should be based on respect. The speaker should show respect for the audience, and the audience should show respect for the speaker.

Before the Presentation

Prepare thoroughly before giving a presentation. Write up a summary of what you will speak about and what you hope to communicate to those who will attend. Stick to your topic so your audience will not feel their time is being wasted by attending. Plan ahead to arrive on time and be ready to give your presentation. Arrive early to new locations where you have never been before to make sure that you have everything you need. You will be able to start on time and give an informative, valuable presentation to your audience.
Getting Started

Prepare by placing your notes on the podium before you start, so you do not have to waste time getting out papers when you are supposed to be speaking. Introduce yourself, even if someone has previously introduced you. This will helps the audience remember your name. Give your audience some information about you, especially if you are a stranger to them.

Speaker's Etiquette

Turn off your cell phone; a speaker should not even glance at his cell phone while speaking. Do not read your notes; speak to your audience. Follow your outline, especially if you have handed one out or if your slides contain one. Changing your mind about the content of your presentation shows disrespect for your audience. Set a time frame and start and end on time. Your audience would prefer you stick to your time limit, even if you realize that you have not covered your entire outline.
Finishing Up

The speaker should end on time. Thank the audience for their time. Leave time for questions if possible, either from the group or from individuals who may approach you after the group has been dismissed. Do not gather up your notes and materials immediately. Leave a few minutes for the audience to exit the room before you begin to pack up your things; you do not want to look like you are in a hurry to leave.
Audience Ettiquette

Audience members should pay attention to the speaker. Do not answer your cell phone or send text messages. Keep your phone on vibrate and only glance at it if you think a call might be an emergency. Excuse yourself and leave the room if you must answer it. If you are using a computer or smart phone to take notes, do not check your email. When the speaker starts to speak, immediately stop talking with other members of the audience and give the speaker your full attention. Do not interrupt unless questions are encouraged. Ask only relevant questions.
