Job Description for an Administration Specialist
Administration specialists perform their duties in the area of administrative support for a business or organization. The position is critical because most organizations depend on administrative specialists to process information and handle customer inquiries. The position is closely associated with the occupation of administrative assistant, but with extra duties involved. The administration specialist usually has more advanced training in computer applications management and basic technology than an administrative assistant or office secretary.

The general duties of an administration specialist involve the handling of incoming and outgoing mail, document handling and processing, and answering telephone calls. Duties can be extended to making travel arrangements for executives or working on a project management team as a project administrator to track internal projects. An administration specialist also can perform duties as a computer applications technician, assisting others with a basic understanding of software programs used in the work environment.

An administration specialist must demonstrate leadership qualities when leading a team project with co-workers. The specialist must be able to be creative and "think on her feet" concerning various project management tasks or inventing new ways to complete a task within time restraints. The specialist must be able to develop and maintain interpersonal relationships with other co-workers and expand those relationships over a period of time.

The administration specialist must possess excellent oral and written communication skills. The specialist is likely to be certified or have at least formal training in computer applications management or applications technology. The specialist must also have knowledge of writing and editing sales and marketing copy. An administration specialist must know how to create and maintain project scheduling systems for prioritizing organizational events and projects.

Administration specialists work indoors in a climate controlled environment. The specialist interacts with co-workers constantly relating to administrative functions in the environment. For the administration specialist, various tasks can be redundant or he can be charged with developing new ways to perform duties. Light lifting of objects and office equipment may be required for this position. An administration specialist usually works 40 hours per week.

Most specialists receive their training through vocational schools or on-the-job training (starting as an administrative assistant). A certificate or associate's degree can be obtained for the position. According to Payscale.com, as of May 2010, the median income for career fields related to administration specialists is between $13.60 and $18.88 per hour.
