Spam is a huge time waster, and most email users accidentally delete legitimate email in their quest to delete the spam they receive on a daily basis. Spam is also a considerable problem for legitimate businesses trying to communicate time-sensitive information to their clients and customers. Here are some solid tips for creating Spam Filter Rules which will save you time and money whether you are an email sender or receiver.

  1. Do Not Falsify Email Headers

    • Falsifying email headers is a sure way for you to get your email flagged as spam. If you use a web-based email service, make sure they do not falsify your email headers because they have already been blacklisted as a spammer. If you are receiving the email, then double check the header to make sure it is truly coming from someone you have a relationship with, or you have given permission to email you.

    Do Not Use Hidden Text or Embedded Code

    • When sending HTML email, do not hide invisible text or invisible embedded code inside your HTML email message. Spam filtering companies build their spam filter algorithms to look for this type of unethical and sometimes illegal action used by some or the most notorious spammers in the world. Microsoft Outlook 2003 and 2007 have built-in email switches which will turn off all pictures, links and media files as a protection against malicious code.

    Use Proper Spelling and English

    • One of the myths on the Internet is if you are going to send marketing emails or ezines you should misspell specific words to get around professional spam filters. This is not only false, but as a matter of fact, many of the professional spam-filtering companies create filtering criteria to look for this specific type of manipulation. If the email is not spam, and you have permission to send to the email list, then write professionally and do not focus on how to get around spam filters.

    Create Junk Mailbox

    • To eliminate the frustration of weeding through legitimate email and spam, you need to create a junk mailbox inside your email client. Once you have created this mailbox, each time a new piece of junk email shows up in your inbox, you can create a spam filter rule specifying that all email from the specific email address is delivered to the junk mailbox. Now, you can just delete the email in this junk mailbox once a day without wasting time.

    Develop a Safe Sender List

    • This is the best method to ensure that specific email is delivered as you have requested. By specifically listing certain email addresses as "safe," you will override the built-in spam filter rules built inside your email client. When you create a safe list, the built-in spam filter rules are overridden by your actions and even if the Domain or DNS in which the email is coming is on an email blacklist, it will still get through.

    Block Unapproved Email Addresses

    • One of the best spam-filtering rules, is your ability to block the email sender. When you receive unwanted spam, most email clients will allow you to block the sender from sending you future emails. This action also tells the creator of your email client that they need to add the domain in the email to their potential list of spammers. They will watch to see if others also request the email be blacklisted. If so, they will then add it to the list.
